Status: Non-exempt, Full-time, with benefits

Job Description:
Responsible for providing administrative, recordkeeping, and clerical support for the contract compliance and properties department including fleet maintenance and assisting the maintenance/custodial staff as needed.
Responsibilities include:
  1. Maintain and update all agency program services statistical data.
  2. Assist in preparation of quarterly reports, including compiling all information such data and program narratives.
  3. Prepare and submit monthly billings.
  4. Assist with establishing new contracts and maintain agency main contract file.
  5. Assist with coordination and oversight of property projects, including government-funded projects while adhering to agency policies and procedures.
  6. Procure bids for capital improvements, purchases, and repairs including proposals for upcoming funding.
  7. Conduct agency fire drills and maintain required documentations for licensing purposes.
  8. Other duties as assigned.
 
Work Environment – inside/outside, office, warehouse, noise, temperature, etc.
  1. Position responsibilities require individual to work inside and outside, and may be exposed to noise, dust, fumes, and harsh temperatures.
 
Physical Demands including bending, sitting, lifting and driving
  1. Primary functions require sufficient physical ability and mobility to walk, stand, an sit for prolonged periods of time; to frequently stoop, bend, kneel, crouch, crawl, climb, reach, twist, grasp, and make repetitive hand movement in the performance of daily duties; to climb unusual heights on ladders; to lift, carry, push, and/or pull moderate to heavy amounts of weight; to operate assigned equipment and vehicles; and to verbally communicate to exchange information.
 
Skills, knowledge and abilities:
  1. Outstanding communication (written and oral) and interpersonal skills to interact with co-workers, supervisors, and general public sufficient to exchange or convey information.
  2. Outlook, Microsoft Word and Excel proficiency.
  3. Ability to work independently and with a minimum of supervision.
  4. Ability to establish priorities and manage multiple activities.
  5. Basic knowledge of property inspection requirements.
  6. Proficient in understanding safe an applicable use of equipment, tools, and materials used in facility maintenance activities.
  7. Ability to work effectively as part of a team.
 
Education, training and or experience:  
  1. HS diploma or equivalent.
  2. Two to three years of progressively responsible administrative and clerical experience.
  3. Accounting experience preferred.
  4. Familiarity with government billing procedures.
  5. Some experience in commercial building and vehicle maintenance.
 
Background Screen/BCI requirement
  1. Must pass a BCI/FBI background check.
 
Licenses, certifications and credentials
  1. Current Utah driver’s license, proof of auto insurance with minimum policy liability limits of $50,000 per person and $100,000 per occurrence, 21 years of age or older, a clean driving record, and ability to meet CCS vehicle safety requirements.
 
Position status and expected schedule  
  1. This is a full-time, 40 hours per week position working Monday-Friday.
